Planning an Event
Council is committed to supporting the successful planning and implementation of community and tourism events throughout the region. We recognise the social and economic benefit that vibrant and sustainable events offer our communities.
To help ensure your event meets all legislative requirements and prioritises public safety, it is essential that Event Organisers notify Council of their event plans. This also provides an opportunity for your event to be promoted through Council’s communication channels.
Council’s latest Fees and Chargers document will give you access to any costings associated with the use of Council grounds or resources.

Event Management Guide
This guide has been prepared by Council to assist event organisers in planning events within the Snowy Valleys region. It aims to help event organisers understand and navigate Council processes, approvals and requirements.
The guide is intended as a general resource only; it is in no way to be regarded as a complete or comprehensive guide and does not cover every aspect of event planning or all Council related processes and approvals, but is a great starting point when trying to navigate Council requirements.

Event Notification
Notifing of your intention to host an event is the first step for communicating with Council regarding your event.
The Event Notificaion form is used to gather details about your proposed event to help Council staff identify any necessary applications or approvals needed for ensuring your event is complying with all required legislations and regulations.

Event Promotion via Council Channels
Council can help support the promotion of your event in a number of ways.
Australian Tourism Data Warehouse (ATDW) profile
By creating an ATDW profile, your event will not only be featured on the visitsnowyvalleys.au website and socials, but it can also be visible on other significant platforms like Visit Wagga Wagga, Destination Riverina Murray and Destination NSW.

Please inform Council’s Events Officer once registered to ensure complete connection with the Visit Snowy Valleys website and ATDW.
Visit Snowy Valleys (VSV) website
If you don’t wish to have an ATDW listing* you can instead provide Council’s Events Officer with the below information which will be manually entered onto the VSV website.
- Event Name
- Time and Date(s) of Event
- Paragraph/promotional statement explaining your event to the general public, why they should come along.
- Link to Event Website or Facebook page – where people can purchase tickets and/or find more information.
With this information Council can also use it to help promote your event via:

- Snowy Valleys Council Facebook – shared Monthly What’s on Post from Visit Snowy Valleys
- Local Radio 'What's On' Announcements

Traffic Management for Special Events Form
This form is required if you are proposing to hold an event on the road or on the side of the road, resulting in any disruption to traffic systems or the non-event community.
The details in this form will be sent to NSW Police for approval and submitted to either Snowy Valleys Council’s Local Traffic Forum or Technical Services team for consideration and approval from Council.

Venue, Park and Sporting Facility Booking Form
This form is required when you are looking to hire Council owned land or facilities. The details provided in this form will be sent to Council’s Bookings team who will check availability and help you to secure the required grounds as well as to the Parks and Facilities teams to ensure the grounds are prepared as appropriate for your event.
This form also includes a section for Waste Service if you wish to book bins through Council.

Event Food Vendor Form
This form is required if you are selling or providing any food or beverages to the public when participating in events within the Snowy Valleys region. This application is a one-time process unless your details change, in which you must resubmit this form.
It is the event organiser’s responsibility to ensure all food and beverage suppliers have submitted this form to Council and received confirmation. Event organisers are asked to provide Council’s Events Officer with a list of their food and beverage suppliers prior to the event, so the Officer can confirm which suppliers have completed the form and which have not.

Risk Assessment Template
This document is a template you can use to start your risk assessment requirements for your event, it should not be seen as a full or comprehensive template, but as a starting guide only. Each event is unique and have their own specific associated risks which need to be evaluated. It is recommended to contact a professional to provide guidance on your events risk requirements.

NSW Police - Notice of Intention to Hold a Public Assembly
If your event includes a competitive road race, e.g. a timed cycling event or any road-based competition or will involve a large number of people (1000+) gathering in one location, your event falls under specific legal requirements and must be approved by the NSW Police Assistant Commissioner. These applications must be submitted at least 90 days prior to the event.

Notice of Intention to Hold a Public Assembly(PDF, 14KB)
Murrumbidgee Local Health District - Health Risk Assessment for Planned Events
This form is used to assess and record potential health risks associated with planned public events. It is only required for events that may lead to a surge in hospital presentations.
Notification about your event should be sent to Murrumbidgee Local Health District (MLHD) for events that may lead to a surge in hospital presentations. MLHD request notification for events expecting more than 2,000 attendees and/or events that involve high-risk physical activities, potential for risky behaviours (such as illicit drug use), or those held in remote locations."
The form is also a helpful tool when completing your event risk assessment to highlight any potential extreme risks that will require mitigation.
